Who This Covers
01This Privacy Policy explains how Elyx and Preplink Limited collect, use, store, and protect personal data when you browse our website, sign up for Elyx, connect business data, or use our call handling, booking, messaging, payment, and workflow tools.
Depending on the setup, Elyx may act as a controller for website, account, billing, and support data, and as a processor for customer data that our business customers choose to handle through the product.
Data We Collect
02We collect information you give us directly, information created while Elyx is operating, and limited technical data needed to secure and improve the service.
- Account and company details such as name, email address, phone number, business name, role, and billing contact details.
- Operational data such as call metadata, transcripts, recordings where enabled, booking records, task outcomes, reminders, payment status, and workflow activity.
- Business configuration data such as opening hours, locations, staff availability, service menus, pricing rules, scripts, knowledge base content, and integrations.
- Technical and usage data such as device information, browser information, IP address, logs, diagnostics, security events, and product analytics.
- Billing data needed to manage subscriptions and invoices. Card details are handled by our payment processor rather than stored directly by Elyx.
How We Use Data
03We use personal data to run the platform, deliver customer conversations reliably, and support the businesses using Elyx.
- To provide call answering, booking, messaging, payment, and workflow features.
- To authenticate users, secure accounts, prevent abuse, and monitor service health.
- To improve product quality, measure reliability, and troubleshoot support issues.
- To send service notices, billing updates, onboarding guidance, and important product communications.
- To comply with legal obligations and maintain appropriate records.
Legal Bases
04Where GDPR applies, we rely on one or more lawful bases depending on the context. These include performance of a contract, legitimate interests in running and securing the service, legal obligations, and consent where consent is required.
If you are using Elyx on behalf of a business, that business is typically responsible for choosing the lawful basis for customer-facing data processed through the platform.
Sharing and Processors
05We share data only where needed to operate Elyx, support our customers, comply with law, or protect the service. We use service providers for hosting, telephony, analytics, customer support, payments, and infrastructure operations.
These providers process data under contractual safeguards and only for the functions we ask them to perform.
Retention
06We keep data for as long as needed to provide the service, meet contractual commitments, resolve disputes, and comply with legal obligations. Retention periods may vary depending on the data type, customer settings, and regulatory requirements.
When an account is closed or data is no longer required, we delete or anonymize it within a reasonable period unless the law requires a longer retention period.
Security
07We use administrative, technical, and organizational measures designed to protect personal data against unauthorized access, disclosure, alteration, and loss. These measures include access controls, encrypted transport, environment isolation, logging, and vendor controls.
No system can be guaranteed completely secure, but we design Elyx to reduce risk and respond quickly if something goes wrong.
International Transfers
08If data is transferred outside the EEA or UK, we use appropriate safeguards such as contractual protections and processor terms designed to meet applicable privacy requirements.
Your Rights
09Depending on your location and the role we play in processing, you may have rights to access, correct, delete, restrict, object to, or port personal data. You may also have the right to withdraw consent where processing relies on consent.
If Elyx is processing data on behalf of one of our customers, we may direct your request to that customer so they can decide how it should be handled.
Cookies and Analytics
10We use essential technologies required for authentication, security, and core site functionality. We may also use analytics tools to understand how visitors and customers use the site and product.
Where consent is required for non-essential tracking, we aim to provide an appropriate consent mechanism before those tools are activated.
